Sheet Metal - Sales Order
Menu Selection: Document - Sheet Metal - Sales Order
Purpose
This document allows the user to create/modify a Sheet metal industry Sales Order.
Prerequisites
There must be product master records established in the database via the Stock - Account document. The debtor that is purchasing the goods must exist in the database via the Debtor - Account document.
The Process Specifications must be established via the Production - Process Specifications document.
The Sales Exec field is not mandatory, but needs to be established via the Parameters - Sales Execs document, if the feature is to be used on this document.
The Colours field is not mandatory, but needs to be established via the Parameters - Colours document, if the feature is to be used on this document.
Also the Delivery Key is a search only field that corresponds to an Name Address record. This can be established on via the Name and Address - Name and Address document, or can be entered here if the order is sent to the location only a few times.
The Per and Unit fields have predefined types. If the Per field in the Product Master Record is M2 (meters squared), then the material cuts will need to be established in the Parameters - Material Cuts document.
Context
This document has been specifically customized for the sheet metal industry, and is inappropriate to be used in other industries. Many of the features of the traditional LILAC Sales - Orders have been removed. However additional features have been added (eg being able to attach images to the document).
Sheet Metal documents only work in company where the Prices Excluded GST feature setting is set to Y.

in the process specification key (or click the right mouse button) and select
the key from the list.
This field is used to generate work order for a particular process specification. A process specification must be established against a product group (via the Parameters - Product Groups document). If this field is nonblank, then only products in product groups that have the process specification selected are added to the work order. If this field is left blank, the system will create the required number of work orders such that a work order is created for each process specification. If there are no products on a sales order which correlate to a process specification (i.e. there are no work order lines), then the work order is not created. |
| Sub Total | No | Displays the Total - GST - Freight. This field should also be the sum of all the lines on the order. |

in the price per unit. The default price is obtained via some complicated
calculations. The Selling Prices in the Product Master Record are not used as
such. Instead the Mark up fields are.
The Discount is calculated in the following order: -
The Cut Width is rounded up based upon the specifications established in the Parameters - Material Cuts document corresponding to the Product Group specified in the Product Master Record. If the Per field
in the Product Master Record is M2 (meters squared), Quantity
is calculated by Bend Length is rounded up based upon the specifications established in the Parameters - Material Cuts document corresponding to the Product Group specified in the Product Master Record. If the Per field
in the Product Master Record is M2 (meters squared), then the Price is equal
to Any Discount * Quantity * Standard Cost * (100.0 + Mark Up 1) /
100.0 + Otherwise the price is equal to Any Discount * Standard Cost * (Mark Up 1 + 100.0) / 100.0)). |

the GST exempt computed extension of order line.
If the Per field in the Product Master Record is M2 (meters squared), the Extension is calculated by multiplying the Price by the Metres. If the Per field in the Product Master Record is M (meters), the Extension is calculated by multiplying the Price by the Length. If however the Length is less than 1.0, and rounding is set for the Product Group, then the value of 1.0 is used instead of the Length specified. Otherwise the Extension is calculated by multiplying the Price by the Items. |

check box serves several purposes. If is used when creating Tax Invoices, Work
Orders and Delivery Dockets.
The check box applies from line after the previous check mark, to the current line inclusive. When creating a Tax Invoice, check this box to sub total the lines on the Tax Invoice. If using it this way, its best to check the last line on the order as well. When creating a Work Order or Delivery Docket, the check mark is used to sort the lines by length, with the biggest appearing first. This is designed so that products requiring the biggest cut of material appears first. Additionally on the Work Order the meters are sub totalled, and on the Delivery Docket the weight is sub totalled. |

This field is used to specify any drawings to be associated with the material, traditionally folds and cuts. The drawings can be established in the Product Master Record via the Stock - Account document, and uses traditional QCAD functionality. |

| Fax | This button is only available if the user authority level is lower than 4. Clicking the Fax button will fax a copy of the Sales Order to the fax number specified in to Charge To Fax field. |
| Invoice | This button is only available if the user authority level is higher than 3. Clicking the Invoice button will create the Tax Invoice/Credit, and close the Sales Order. Once the Sales Order is closed, no further processing can be done to this document. |
| Work Order | Clicking the Work Order button will create the necessary Work Orders based upon the process specification that has been selected. |

Once a Sheet metal Sales Order has been entered, you can create Sheet Metal - Work Orders, a Sheet Metal - Delivery Docket, and finally a Sheet Metal - Sales Invoice.
