Purpose

This document allows the user to establish parameters for reports.

Prerequisites

There are no prerequisites for establishing parameters for reports.

Context

You should always click the Clear button before setting up parameters.

The Lennox Computer convention for From/To bracketing is as follows:

When you produce a report with complex parameter selections. We suggest that you print this page to accompany the printed report so that the user of the report may see the parameters specified.

Initially it is best to run a report with all blank parameters, and then use the scroll bars to examine the output before setting constraints.

About This Screen

Field Enterable? Instructions
User No Displays the user key for the signed in user.
Check Parameters Yes Tick this box, if you wish to see which parameters a report uses. Make sure this field is ticked and then run the report of your choice, and the parameters the report uses will be displayed, instead of the report.
From Ledger Yes Type in the from ledger key (or click the right mouse button) and select the key from the list.
To Ledger Yes Type in the to ledger key (or click the right mouse button) and select the key from the list.
From Account Yes Type in the from account key (or click the right mouse button) and select the key from the list. If the account is not available from clicking the right mouse button, you can type it in as it is a dark blue field.
To Account Yes Type in the to account key (or click the right mouse button) and select the key from the list. If the account is not available from clicking the right mouse button, you can type it in as it is a dark blue field.
From Sub Yes Type in the from sub account key (or click the right mouse button) and select the key from the list. If the sub account is not available from clicking the right mouse button, you can type it in as it is a dark blue field.
To Sub Yes Type in the to sub account key (or click the right mouse button) and select the key from the list. If the sub account is not available from clicking the right mouse button, you can type it in as it is a dark blue field.
Other Ledger Yes Type in the ledger key (or click the right mouse button) and select the key from the list. This is used in some reports to match up the other side of the entry. For example, i want to see all ledger entries in the BALANCE - DEPOSITS account where the other side of the entry is DEBTORS - BOBSMITH.
Other Account Yes Type in the from ledger key (or click the right mouse button) and select the key from the list. If the account is not available from clicking the right mouse button, you can type it in as it is a dark blue field.

This is used in some reports to match up the other side of the entry. For example, i want to see all ledger entries in the BALANCE - DEPOSITS account where the other side of the entry is DEBTORS - BOBSMITH.

From Customer Yes Type in the from debtor's key (or click the right mouse button) and select the key from the list.
To Customer Yes Type in the to debtor's key (or click the right mouse button) and select the key from the list.
From Category Yes Type in the from category key (or click the right mouse button) and select the key from the list.
To Category Yes Type in the to category key (or click the right mouse button) and select the key from the list.
From Sales Exec Yes Type in the from sales executive key (or click the right mouse button) and select the key from the list.
To Sales Exec Yes Type in the to sales executive key (or click the right mouse button) and select the key from the list.
From Turnover Yes Type in the from turnover class key (or click the right mouse button) and select the key from the list.
To Turnover Yes Type in the to turnover class key (or click the right mouse button) and select the key from the list.
From Supplier Yes Type in the from creditor's key (or click the right mouse button) and select the key from the list.
To Supplier Yes Type in the to creditor's key (or click the right mouse button) and select the key from the list.
From Post Code Yes Type in the from post code.
To Post Code Yes Type in the to post code.
Select Bank Account Yes Type in the account key (or click the right mouse button) and select the key from the list. This represents the bank account, and the reports that run will use this as bank account where applicable. It should only need to be changed when you are maintaining two or more bank accounts. When the Clear button clicked, this will default to CASH AT BANK.
Template Type Yes Type in the template type key (or click the right mouse button) and select the key from the list.
Mailing List Yes Type in the mailing list key (or click the right mouse button) and select the key from the list.
Address Yes This parameter is solely used for diagnostic reports, and should not be used by anyone except Lennox Computer trained staff members.
Periodicity Yes Type in the periodicity key (or click the right mouse button) and select the key from the list.
Month To Date Yes Type in Y to set the from and to periods to the current signed in period. When the Clear button clicked, this will field will default to the default Month To Date setting in the company data..
Year To Date Yes Type in Y to set the from period to the beginning of this financial year, and the to period to the current signed in period. When the Clear button clicked, this field will default to the default Year To Date setting in the company data.
From Period Yes Type in the from period. This field can be changed by specifying Y in the Month To Date and Year To Date fields. It can also be overtyped. If it is overtyped, Lennox Computer recommend making user that the Month To Date and Year To Date fields are blank.
To Period Yes Type in the to period. This field can be changed by specifying Y in the Month To Date and Year To Date fields. It can also be overtyped. If it is overtyped, Lennox Computer recommend making user that the Month To Date and Year To Date fields are blank.
From Document Yes Type in the from document number.
To Document Yes Type in the to document number.
From Date Yes Type in the from date.
To Date Yes Type in the to date.
From Batch Yes Type in the from batch.
To Batch Yes Type in the to batch.
From Product Yes Type in the from product key (or click the right mouse button) and select the key from the list.
To Product Yes Type in the to product key (or click the right mouse button) and select the key from the list.
From Group Yes Type in the from product group key (or click the right mouse button) and select the key from the list.
To Group Yes Type in the to product group key (or click the right mouse button) and select the key from the list.
From Bin Yes Type in the from bin key (or click the right mouse button) and select the key from the list.
To Bin Yes Type in the to bin key (or click the right mouse button) and select the key from the list.
Ranked Yes Type in a Y if you wish the reports it applies to, to list debtors in reverse order of sales value.
Zero Balances Yes Type in a Y if you wish the reports it applies to, to list zero balance accounts.
Summary Yes Type in a Y if you wish the reports it applies to, to show a summary of the report only.
Overdue Only Yes Type in a Y if you wish the reports it applies to, to show only overdue accounts.
Price No Yes Type in the price number you wish the report to use.
Show Cost Yes Type in a Y if you wish the reports it applies to, to show cost prices.
Show Complete Yes Type in a Y if you wish the reports it applies to, to include completed items.
Show Detail Yes Type in a Y if you wish the reports it applies to, to include transaction details.
Create Invoices Yes Type in a Y if you wish the reports it applies to, to make new invoices from templates and print them.
Print Statements Yes Type in a Y if you wish the reports it applies to, to print debtor statements. This feature should be used in conjunction with the Create Invoices parameter.
Incl BoM Yes Type in a Y if you wish the reports it applies to, to show Bill of Material raw materials in sales.
Use Ship Dates Yes Type in a Y if you wish the From and To Date fields to be used as ship dates, rather than document dates.
Left Margin, Top Margin Yes These parameters control the position on certain label printing reports try 8 and 20 mm as an initial attempt.
Copies Yes Type in the number of copies of the report to be displayed in the virtual presentation space. This feature applies to barcode & product label reports.
Qty Only Yes Type in a Y if you wish the reports it applies to, to show only quantities.
Gross Profit Yes Type in a Y if you wish the reports it applies to, to report gross profit.
Active Only Yes Type in a Y if you wish the reports it applies to, to show accounts with activity.
CSV Format Yes Type in a Y if you wish the reports it applies to, to change its output format to CSV. 
Branch Subtotals Yes Type in a Y if you wish the reports it applies to, to show sub-totals for branches. This parameter applies only to consolidated reports.
Read Only Yes Type in a Y if you wish the reports it applies to, to run in "read only" mode.
Terms Yes Type in debtor terms. This applies to reports such as Reports - Debtors - Overdue Letters, Reports - Debtors - Apply Stop Credit. It allows you to customize the terms of the debtor when running these reports.

Clear Clicking the Clear button, will reset the fields on this screen based upon the company data set up.
