Purpose

This document provides the facility to add an entity into the database who is neither a debtor nor a creditor. 

Prerequisites

This document provides for the initial creation or editing of a name and address details. There are no mandatory prerequisites, but the Category and Invoice To fields are Search Only and refer to data that should be pre-defined. See Parameters - Categories. The Invoice To field should be filled in with a Name and Address record that already exists.

Context

Any creditors or debtors which have been created will appear in the screen, and there details can be modified here.

About This Screen

Field Enterable? Instructions
Key Yes Type in the new name and address key. The Lennox recommended convention is to use the first three characters of the customer’s name, followed by another three characters from the second word, e.g.: Lennox Computer would have LENCOM for its key. For the delivery key, add an extra three characters to denote the branch if appropriate, e.g.: for Lennox Computer delivery key at Coolum, a key would be LENCOMCOO.
Name Yes Type in the entity’s name.
Address, Street, Suburb,
State, Post Code
Yes Type in the entity’s address.
Contact Yes Type in the name of contact person in the organisation.
Phone Yes Type in the entity's telephone number with area code.
Fax Yes Type in the entity's facsimile number with area code.
Mobile Yes Type in the entity's mobile phone number.
Modem Yes Type in the entity's modem number with area code.
e Mail Yes Type in the entity's email address.
Bank, BSB, Bank Account Yes Type in the Bank, B.S.B. Bank Account Bank Name, Branch Number and Bank Account Number for use in the Debtors - Receipt and the Creditors - Payment document.
Status Yes Leave this field blank. It is for historical purposes only.
Category Yes Type in the category this entity belongs to, eg: TRADE.
Start Date Yes Enter in the date that this entity was first contacted or added to the LILAC database.
Last Date Yes Enter in the date that this entity was contacted last.
Next Date Yes Enter in the date when this entity will be contacted next.
Invoice To Yes Type in the name and address key (to search, click the right mouse button or strike the F12 key).
Name No The "Invoice To" entity’s name.
Address, Street, Suburb,
State, Post Code
No The "Invoice To" entity’s address.
Contact No The name of contact person in the "Invoice To" organisation.
Phone No The "Invoice To" entity's telephone number with area code.
Fax No The "Invoice To" entity's facsimile number with area code.
Mobile No The "Invoice To" entity's mobile phone number.
Modem No The "Invoice To" entity's modem number with area code.
e Mail No The "Invoice To" entity's email address.
Text Yes Name and address note text, appears on Creditor Account and Name Address

Transaction Processing

Button Description
New Quote Click the New Quote button to create a quote for the entity. This will take you to the Sales - Quotation document. 
New Sale Click the New Sale button to create a sales order for the entity. This will take you to the Sales - Order document.

Once the new address has been established in the database you are then able to do a establish a mailing list, or use the New Quote button to create a quote, or the New Sale button to create a sales order.
