Menu Selection: Document - Job - Contract

Purpose

This document allows the user to create a contract for a job.

Prerequisites

The customer (Debtor - Account) must exist in the system. The Supervisor (Jobs - Supervisors) must exist in the system.

Context

A contract is a binding agreement between two or more parties for performing, or refraining from performing, some specified act(s) in exchange for lawful consideration. This document is used to establish contract price and to enter any approved variations to the contract. This is a selling oriented rather than costing oriented document.

Field Enterable? Instructions
Job No Yes Type in or search for a job. A new job can be created if required.
Contract Date Yes Type in the date the contract was opened.
Customer Yes Type in or search for the customer's billing address.
Site Yes Type in or search for the customers site address key.
Supervisor Yes Type in or search for the supervisor key.
Job Closed No Displays a red tick if the job is closed. No further entries will be able to be made to the budget document if the job is closed.
Job Name Yes Type in the job name.
Original Contract Yes Type in the initial contract value.
Contract Variations No Displays the subsequent, agreed to, change to the value of the contract. This is the sum of the Variation lines.
Revised Contract No Displays the up to date contract revenue amount. This is equivalent to the Original Contract + Contract Variations.
Bill To Yes Displays the customer's billing address.
Site Yes Displays the name and address of the customer's site where the work is to take place.

Variation Yes Type in the dollar value of the variation. The sum of this column is stored in Contract Variations.

Once a contract is established, changes can be made to, and reports can be run comparing the original contract, contract variations and actual revenue.
