Menu Selection: Document - Debtor - Statement

Purpose

The debtors statement is the primary external document used in the control of customer accounts, and the collection of funds from credit account customers.

Prerequisites

The Debtor must exist in the Lilac3 Database.

Context

Typically a debtors statement is produced for each account at the end of each month after all relevant entries have been completed for the month. i.e. Invoicing and Cash Receipts.

Individual statements may be produced by selecting the required key in the Name field and then clicking the Compute button.

A continuous run of statements may be produced by starting with a blank Name key and selecting Start  Continuous Print from the File menu.

About This Screen

Field Enterable? Instructions
Name Yes Type in the debtor’s key, for whom you wish to generate a statement for, or leave blank if you wish to do a continuous print.
Period No The current accounting period is displayed here. It is established when you sign in.
Date Yes The date to print on statement. This should represent the date the statement was issued. It is set to be the working date.
Balance No What the debtor owes us. 
Current No What the debtor owes that is less  than 30 days old.
30 Days No What the debtor owes that is more than 30 days old, and less than 60 days old.
60 Days No What the debtor owes that is more than 60 days old, and less than 90 days old.
90 Days No What the debtor owes that is more than 90 days old.

Lines of the Document
Field Enterable? Instructions
Date No This column shows the original date the document was created.
Type No This column shows the original source of the document type eg: Invoice, receipts, etc.
Ref No This column shows the reference number of the original source document.
Debit No The original Gross Value of the item for invoices etc.
Credit No The original Gross Value of the item for cash receipts and credits.
Balance No The net outstanding value of the item. N.B. Items will only appear if they have a non-zero Balance, or if zero when they have been subject to current period activity. The total of the Balance column should equal the balance of the account to the current period.

Transaction Processing

Button Description
Compute Clicking the Computer button will create a statement for the Debtor specified in the Name field.
Fax Clicking the Fax button will fax a copy of the Statement document to the debtor using the Fax number established in the Debtors Master Record.
Account> Clicking the Account button will take you to the Debtor - Account document.
